Malaysia Payroll Checklist for Employers

Use a monthly checklist to connect employee changes, approved salary calculations and statutory follow-up.

Before calculation

  • Confirm employee joiners, leavers, pay revisions and bank changes.
  • Collect approved attendance, overtime, leave and claim adjustments.
  • Review employee classifications and statutory identifiers for completeness.
  • Check that the payroll period and effective dates are consistent.

During review

Reconcile headcount and explain material changes in gross and net pay. Review the applicable EPF, SOCSO, EIS and PCB/MTD treatment rather than assuming every worker or pay component follows the same rules. Keep CP38 instructions separate from routine monthly tax calculations.

Compare the approved payroll with bank-file totals and retain approval for the exact version released. Assign an owner to investigate any rejected payment.

After approval

  • Prepare and check the relevant statutory outputs.
  • Confirm who submits, who pays and who retains acknowledgement evidence.
  • Track open queries and corrections with named owners.
  • Keep annual reporting records up to date, including employee movements and benefits information.
